Hackensack Meridian Pascack Valley Medical Center is a 128-bed, full-service, acute-care community hospital, located in Westwood, NJ providing a caliber of care consistent with Hackensack Meridian Health’s world-class standard. The state-of-the-art facility features a new Emergency Department, a maternity center, a women’s imaging center, cardiac and pulmonary rehabilitation, a center for joint replacement, a wound care center, and an intensive/critical care unit.

 

In a joint venture partnership with Hackensack Meridian Health, New Jersey’s largest and most comprehensive and integrated health network, Ardent operates Hackensack Meridian Mountainside Medical Center, located in Montclair and Hackensack Meridian Pascack Valley, located in Westwood.

 

 

POSITION SUMMARY 

 

The Executive Assistant will provide administrative and secretarial support to C-level Executives of the hospital.


Responsibilities

  • Coordinate executive communications including taking calls, responding to e-mails, and interfacing with personnel
  • Prepare internal/external corporate documents for team members and vendors
  • Retrieve and greet visitors or guests that have scheduled meetings with senior leadership, and ensure they feel welcome
  • Schedule meetings, appointments and manage travel itineraries
  • Maintain an organized filling system of paper and electronic documents
  • Uphold a strict level of confidentiality
  • Develop and sustain a level of professionalism among co-workers
  • Handle administration of expense reports
  • Appropriately file and retrieve corporate records, documents, and reports
  • Research and compile data to prepare documents for review, and presentation by boards of directors, committees, and other executives
  • Maintain time sheets for team members that report into assigned C-level executive
  • Transcribe and distribute meeting minutes noted from operational and governance meetings
  • Read and analyze incoming memos, submissions, and distribute as needed

Qualifications

Education & Experience: 

  • High School Diploma Required, Bachelor’s Degree preferred
  • 5+ years of experience as an Executive Assistant reporting directly to senior leadership

Knowledge, Skills & Abilities: 

  • Proficient in Microsoft Office suite including, Excel, PowerPoint, and Word
  • Extremely detail-oriented
  • Excellent problem solving, analytical and organizational skills
  • Inherent ability to multi-task and prioritize work assignments
  • Exceptional interpersonal skills
  • Friendly and professional demeanor
  • Must be able to meet deadlines in a fast-paced, quickly changing environment
